The problem: running a business on borrowed time
Our client chairs a Vistage group, a role built almost entirely on preparation. Before every one-on-one call and every monthly group meeting, she had to pull together context from a calendar, a CRM, and hours of call recordings, by hand, every time. That's hours a week spent assembling information instead of using it.
What we built instead
We built her a custom AI infrastructure, a system connected directly to her calendar, CRM, and call recordings that briefs her on the business in under 5 minutes a day. It automated two of her most repetitive workflows specifically: call prep, and the monthly meeting placemats she used to build by hand in Canva.
The result
Call prep went from an hour to 2 minutes. Monthly meeting placemats went from 4 hours to 30 seconds, and Canva isn't part of her workflow anymore at all. That's not a small tweak. That's most of a workday given back every month.
What this means if your business runs on prep work
If you're spending hours every week assembling information you already have, in your calendar, your CRM, your call history, before you can actually do the high-value part of your job, that's not a discipline problem. It's a missing system. The fix isn't working faster. It's building the infrastructure that hands you the briefing instead of making you build it yourself.
